Manual data entry: This was my primary frustration. GoCanvas doesn't do anything intelligent with equipment data - you're still typing serial numbers one character at a time. If this resonates, FormField was specifically designed to address it.
GIS/mapping requirements: If your work involves significant geospatial data, Fulcrum is the clear choice. Nobody else handles ArcGIS integration as well.

Core feature: Camera-based data capture. Point your phone at an equipment nameplate, and the AI reads manufacturer, model, serial number, and specifications into the corresponding form fields.
Strengths:
- The camera capture genuinely works and saves significant time on equipment-heavy inspections
- Offline mode was built into the architecture from day one, not added as an afterthought
- Native integration with SAP and Maximo without requiring middleware
- Purpose-built for inspection workflows rather than general-purpose forms
Limitations:
- Newer company with a smaller template library than established players
- If you need general forms (surveys, customer-facing forms), it's probably overkill
- The AI handles most nameplates well, but heavily damaged or faded plates still require manual entry
Best for: HVAC, electrical, facility maintenance - teams doing equipment inspections where nameplate data capture is a significant time investment.
SafetyCulture (iAuditor)
We used SafetyCulture for about eight months at my dad's company.
What it is: What started as an inspection app has evolved into a comprehensive operations platform - inspections, training, asset management, incident reporting, and more.
Strengths:
- Massive template library (100,000+) so you rarely start from scratch
- Free tier is genuinely useful for small teams
- The app is polished and reliable
- Platform breadth is unmatched if you need inspections + training + asset tracking
Limitations:
- Can feel like overkill - we used maybe 20% of what we were paying for
- Pricing jumps significantly once you outgrow the free tier, and becomes "contact sales"
- Equipment data capture is still manual - no AI assistance
- ERP integration requires enterprise tier
Best for: Larger organizations that want a unified platform for multiple operational functions, not just forms.
Fulcrum
What it is: Field data collection with serious geospatial capabilities - Esri ArcGIS integration, offline basemaps, polygon/line capture.
Strengths:
- Best-in-class GIS features - nothing else compares for location-centric work
- Offline basemaps actually function properly
- Audio dictation feature useful for hands-busy fieldwork
Limitations:
- 5-user minimum can be prohibitive for smaller teams
- If you don't need geo features, you're paying for unused capability

ProntoForms (TrueContext)
We used ProntoForms before switching to SafetyCulture.

How to Evaluate
Based on having gone through this process multiple times, here's the approach I'd recommend:
- Identify your 2-3 primary pain points with GoCanvas. Focus on specific frustrations, not a general desire for "something better."
- Shortlist 2-3 tools that directly address those issues. Trying to evaluate everything leads to decision paralysis.
- Run an actual pilot. Two weeks, real inspections, real technicians. Not just demos in a conference room.
- Observe day-10 behavior, not day-1 enthusiasm. The real test is whether people are still using it properly after the novelty wears off.
The worst outcome is spending months evaluating and ending up back on GoCanvas because you couldn't decide.
